How do you get a certified copy of a sale deed in Karnataka?

Direct answer: A certified copy is an official duplicate of a registered deed issued under Section 57 of the Registration Act, 1908. It proves registered entries as admissible secondary evidence without transferring title. In Karnataka, apply online via Kaveri 2.0 with the registration number, year, and Sub-Registrar Office to download the digitally signed copy.

Verify with your lawyer: This is general guidance from public rules, not a legal opinion on your flat or site. Have your own property lawyer read the papers before you pay.

What are the key takeaways?

  • Section 57 is the right to a certified copy of a registered document. It is not a new sale.
  • Apply on kaveri.karnataka.gov.in. Screen labels change, so follow the live menu.
  • Take the copy for every deed in the chain your lawyer wants, not only the latest sale.
  • Pair it with an encumbrance certificate. The copy shows one document. The EC shows the list.

What are you actually asking the department for?

A sale deed, once it is registered, sits in the books of the sub-registrar. Section 57 of the Registration Act, 1908 lets a person inspect those books and obtain a certified copy of an entry. The copy is evidence of what was registered. It does not make you the owner, and it does not replace the original if a bank or the other side has a reason to see it. People ask for a certified copy when the seller will not part with the original, when a flat has changed hands several times, or when a lawyer wants the parent deed and the seller only has a photocopy.

Do not confuse this with three other Kaveri jobs. An encumbrance certificate lists registered documents for a period. The steps are in how to download an EC. A registration of your own sale deed is a new instrument, described in how to register a flat on Kaveri. An e-stamp is how duty is paid, not how an old deed is copied. Digital e-stamp is that payment.

Document Type Issuing Authority & Legal Nature Evidentiary Weight (Evidence Act) Kaveri Retrieval Mode Primary Purpose in Diligence
Original Registered Sale Deed Executed by parties, endorsed & sealed by jurisdictional SRO. Primary Evidence (s. 62); conclusive proof of ownership and title transfer. Held in physical custody of owner or pledged with home loan bank. Absolute root of title; mandatory for resale registration and equitable mortgage.
Certified Copy (CC) of Sale Deed Issued by Sub-Registrar under Registration Act s. 57. Admissible Secondary Evidence (s. 65(e) & s. 77); proves register entry. Online on Kaveri 2.0 with Aadhaar e-Sign; delivered in 1-3 working days. Verifying parent deed chain when seller only holds photocopies or original is banked.
Encumbrance Certificate (EC - Form 15) Department of Stamps & Registration search statement. Chronological register extract; lists registered deeds and mortgages. Online on Kaveri 2.0 covering specified search window (e.g. 15-30 years). Detecting undisclosed loans, third-party sales, or registered charges over time.

How does the application run?

Open Kaveri Online Services and sign in. The department also points citizens to igr.karnataka.gov.in for the stamps and registration desk. Choose the certified-copy service for a registered document. If you already have the document number, the year and the sub-registrar office, enter those. If you do not, search from the parties' names or from the property identifiers the form allows, then pick the right instrument. Pay the fee the screen calculates. Kaveri labels move, which is why this page does not pretend a button name from last year is still the button. Download the digitally signed copy from the same login.

Match what comes back. The parties, the date, the consideration, the schedule of the property and the office should be the ones your seller described. A copy of a different document number is a common mix-up in a building where many flats were registered in the same month. If the PDF will not verify, do not accept a photograph of someone else's screen.

What does the certified copy not prove?

It proves the contents of that registered deed. It does not prove the seller is still the owner. A later sale, a mortgage or a release can sit on top of it. That is why the EC, for a period that runs past the deed, belongs in the same folder. It also does not show a court case that was never entered in the register. How to look for pending litigation is a separate search. And it does not correct a khata that is still in an older name. After you buy, khata transfer is its own application.

Ask your lawyer which deeds in the chain need a certified copy: the sale to the present seller, the deed before that, and any release by other heirs. A single latest deed with a gap behind it is how a missing heir shows up at the end.

Frequently asked questions

Does a certified copy transfer the property to me?

No. Only a registered conveyance in your favour does that. The certified copy is proof of an older registered deed.

Can I apply without the document number?

Yes. Search on Kaveri by the details the form offers, then select the right deed. Using the number, year and office is faster when you have them.

Is a photocopy from the seller enough?

Not for the title file. Ask for the certified copy from Kaveri, and keep the seller's photocopy only as a clue to the document number.

Does the copy show loans and court cases?

It shows that one document. Loans appear if they were registered. Court cases appear only if something about them was registered. Run an EC and a litigation search as well.
